Operating helps you plan the work for all kinds of people working in your projects.

Two kinds of people: employees and externals

Groups

We recommend you to create a handful of Groups. You can create groups for e.g. different departments, teams, or offices. Groups can be used to filter and do reports.

In the beginning, your company will have one root group, named after your company. Every person has to be a member of at least one group. If you add more groups, the weekly working hours and bank holidays (coming soon!) are set with a Primary Group. You can set this per person in the Directory.

Internal, billable, or both?

Allocate people to the work they’re currently doing. If someone has sales responsiblities and should spend at least two weeks of their time doing sales, allocate them to an internal project (a project in which the Client is an internal Group) with 40% allocation. Leave the end date empty if it’s unclear.

This way you can see how much of your total capacity goes to internal stuff.

If someone is booked 70% to different client work and has 30% availability, keep it that way. Don’t try to increase the amount of work to 100% if there’s still available time for other client work. The People view in the timeline sorts people by availability first. You want to prioritise finding work for those who have the most free time.
